Booking Terms & Conditions
Your booking contract is with Tour International Ltd. The tours featured on our website are operated by Tour International, Registered office address: Crown House, 27 Old Gloucester Street, London, WC1N 3AX, United Kingdom. Registered in England/Wales, Registered Number 14897858 on behalf of Group Tours Direct Ltd.
Tour International Ltd manages tours and festivals on behalf of Group Tours Direct Ltd. All payments made for package-related tours and festivals operated by Tour International Ltd are made directly to Group Tours Direct Ltd and are financially protected under the bonding scheme in place to protect payments made by customers through Financial Insolvency Insurance (FIE) – EVO Certificate of Insurance bonding.

1. Deposits & Payments
When making a booking:
• A non-refundable deposit of £35 / €45 / $50 per person is required for bookings made within the UK to confirm your booking.
• If your booking is made outside of the UK, a non-refundable £45 / €55 / $75 per person deposit will be required.
If your tour itinerary involves multiple elements with third parties, you may be required to make a different non-refundable deposit. In such cases, you will be notified at the time of quotation.
For large group bookings (200+ persons), a 10% leeway on final numbers may be offered at the discretion of Tour International Ltd staff. If requested in writing and agreed upon, 10% of deposits may be refunded up to 10 weeks before the tour date.
Your booking confirms your acceptance of these Terms and Conditions on behalf of all members of your party. The person making the booking accepts responsibility for communicating with the group and keeping all members informed of the booking details.
Upon receipt of your deposit, a confirmation invoice will be issued, establishing a contract between us.
The balance of your booking must be paid directly to Group Tours Direct Ltd no later than ten weeks prior to departure.
• For bookings made within ten weeks of departure, full payment is required at the time of booking.
• A payment reminder will be sent three weeks before the balance due date.
• Failure to pay the balance within ten weeks of departure may result in the cancellation of your booking, with cancellation charges applied.
Once full payment has been received, your itinerary and tour details will be sent within two weeks of departure. If your tour includes fixtures, these will be released 7–10 days before departure.
2. Price Adjustments & Surcharges
We reserve the right to notify you of any price increases before accepting your booking. After issuing a confirmation invoice, your price is subject to potential surcharges due to:
• Changes in transportation costs (fuel, taxes, or service fees)
• Currency exchange rate fluctuations
• New or increased taxes imposed by the UK or overseas governments
If the price increases by 10% or more, you have 14 days from the revised invoice date to cancel and receive a full refund, excluding any holiday insurance premiums or amendment charges.
Within 30 days of departure, your booking will not be subject to surcharges.
3. Cancellations & Refunds
Cancellations must be made in writing by the lead name on the booking. Email is preferable.
Cancellation charges:
• More than 70 days before departure – Loss of deposit only
• 70 days or less before departure – 100% of the booking value
If you request an amendment to your booking, an amendment charge of £50/€55/$60 per booking may apply, whether or not we can make the requested change.
4. COVID-19 Policy
If you cannot attend your booking due to COVID-19-related issues, such as:
• Local lockdown preventing travel
• COVID-19 illness within your group
No refunds will be issued by Group Tours Direct Ltd, for whom Tour International Ltd operates events.
5. Flights
Tour International Ltd does not provide flights. Your booking does not include flight arrangements.
6. Changes & Variations
We reserve the right to make minor changes to your tour.
Significant changes (e.g., venue change over 20 miles, major accommodation downgrade) will be notified as soon as possible.
If a significant change occurs within four weeks of departure, we will offer alternative arrangements or compensation based on notice timing.
• More than 42 days prior – £0 compensation
• 29-42 days prior – £10 per person
• 15-28 days prior – £13 per person
• 0-14 days prior – £15 per person
If alternative accommodation is provided at a lower standard, a refund of the price difference will be offered.
For team sports bookings, we cannot guarantee the number of fixtures, nor offer refunds if:
• Opponent teams withdraw
• Fixtures are canceled due to adverse weather
7. Travel Documents & Insurance
Passports & Visas:
• It is your responsibility to ensure all members hold valid passports and obtain necessary visas.
• We are not responsible for losses due to visa issues.
Travel Insurance:
• Adequate travel insurance is mandatory for all international tours.
• We do not accept responsibility for losses arising from lack of insurance.
8. Complaints & Disputes
If you encounter an issue during your trip:
1. Inform a Tour International Ltd representative immediately.
2. If unresolved, complete a complaint form during the trip.
3. Submit a written complaint within 28 days of return.
Disputes will be governed by the laws of England & Wales.
9. Event Participation & Identification
• You may be required to wear an identity card or wristband for event participation.
• If you refuse, you will not be allowed to take part in the event or access accommodations.
10. Photography & Media Usage
By booking with us, you consent to the use of photographs or videos taken at events for promotional purposes.
11. Responsibilities & Liability
• You must ensure that at least one adult (18+) is present in each accommodation.
• We are not responsible for the behavior of other teams or participants.
• Coach Travel: If booked, you must meet the coach on time. Delays are not our responsibility.
We accept responsibility for ensuring that your tour matches what was advertised, except in cases of:
• Your own negligence
• Actions of third parties beyond our control
• Force Majeure Events (war, pandemics, natural disasters, etc.)
12. Important Notes
• Bookings are only valid if confirmed through Tour International Ltd.
• Unregistered participants are not allowed to attend.
• All participants must be listed on the booking.
Final Agreement
By booking with Tour International Ltd, you confirm that you accept these Terms and Conditions on behalf of all group members.
